Connect the load to the amount collected
Dispatch records, proof of delivery, customer invoices and carrier statements should use a consistent reference. We separate agreed freight revenue, approved additional charges, deductions and payment timing. When a settlement combines several loads, its detail is preserved so a short payment can be traced to the specific issue.
Organize vehicle and fuel evidence
Fuel receipts retain dates, locations, quantities and vehicle references. Maintenance, repairs, lease or financing documents and insurance bills are kept retrievable. These records support cost analysis and any separately reviewed reporting obligations. A cost entry does not itself establish eligibility for a fuel-tax exemption, refund or interjurisdictional filing treatment.
Illustrative example: settlement deductions
A carrier statement lists $11,500 for completed loads, then deducts $1,300 of documented fuel advances and a $250 agreed charge. The bank deposit is $9,950. We record the underlying revenue and deductions separately, checking that fuel advances are not also counted again when card statements reach the accounts.
Compare operations using a defined measure
We can organize direct costs by vehicle, route group or customer when reliable records support the comparison. The report states whether depreciation, financing and shared overhead are included. Periodic checks of missing delivery documents and overdue customer balances help the owner distinguish an operational margin issue from a collection delay.
